Role Overview

As an Accounts Assistant, you will play a crucial role in supporting the Accounts Department by ensuring accurate financial records are maintained, accounting transactions processed timely, and compliance with statutory requirements fulfilled. This role demands meticulous attention to detail and a proactive approach to managing various accounting functions.

Key Responsibilities

Accounts Payable

• Manage the processing of supplier invoices, ensuring verification against supporting documents.
• Prepare payment vouchers and maintain up-to-date vendor records.
• Reconcile supplier statements to ensure consistency and accuracy in payment processes.

Accounts Receivable

• Generate and prepare customer invoices for services rendered or products sold.
• Proactively follow up on outstanding payments to ensure timely collection.
• Maintain comprehensive records of customer ledgers to facilitate bookkeeping and audits.

Bank & Cash Management

• Accurately record daily bank and cash transactions, ensuring all entries are documented.
• Conduct bank reconciliations regularly to confirm accurate financial tracking.
• Manage petty cash records with attention to detail.

GST & Statutory Compliance

• Assist in the preparation and filing of GST returns to ensure compliance with tax regulations.
• Maintain TDS records and support statutory audits by preparing the necessary documentation.

Purchase & Sales Accounting

• Verify purchase orders, goods receipt notes (GRNs), and invoices to confirm accuracy before processing.
• Record sales transactions ensuring data integrity in financial records.
• Work closely with Stores and Purchase departments to streamline operations.

Payroll Support

• Aid in the processing of salary calculations and maintain employee reimbursement records.
• Support documentation for PF, ESI, and Professional Tax as per regulatory requirements.

Financial Records

• Systematically maintain vouchers and accounting files for accuracy in financial reporting.
• Prepare monthly expense reports, ensuring all costs are accounted for correctly.
• Assist in month-end and year-end closing activities for timely financial reporting.

ERP & Documentation

• Update accounting entries within ERP/Tally systems to reflect real-time data.
• Maintain both digital and physical records of financial documentation for easy accessibility.
• Ensure meticulous filing of documents to prevent any loss or misplacement.

Coordination

• Actively coordinate with Production, Purchase, Stores, HR, and Sales departments for streamlined financial processes.
• Provide necessary financial information to auditors and management when needed.

Requirements

• Bachelor’s degree in Commerce (B.Com), Master’s in Commerce (M.Com), or Bachelor in Business Administration (BBA) accounting/finance.
• 2-3 years of experience in the manufacturing industry preferred.
• Proficiency in Tally ERP/Tally Prime and ERP software.
• Strong MS Excel skills (including VLOOKUP, Pivot Tables, basic formulas).
• Good knowledge of MS Word and Outlook.
• Solid understanding of GST, TDS, and basic taxation.
• Excellent communication skills with attention to detail.
• Ability to manage time effectively and organize tasks efficiently.
• Must maintain confidentiality regarding financial records.
