Role Overview
We are looking for an HR and Admin Assistant Manager to serve as the founder’s right hand in keeping the company running smoothly. This is a high-ownership, multi-faceted role that spans human resources, office administration, client renewal coordination, and external communications. You will be the central hub for people operations, compliance, vendor management, and executive support. Reporting directly to the founder and CEO, you will gain unparalleled visibility into strategic decision-making while executing the operational details that keep a growing business on track. This role is based in Baner, Pune, and requires in-office presence five days a week.
Key Responsibilities
Human Resources
- Coordinate the full hiring cycle: post roles on job portals, source candidates through consultants, conduct first-level screening calls, schedule interviews, and manage offer-to-joining follow-ups.
- Run onboarding — create documentation, issue appointment letters, conduct induction, manage asset handover, and ensure a positive first-week experience. Similarly handle offboarding with care.
- Maintain employee records, attendance, and leave data; prepare monthly payroll inputs for founder review.
- Keep HR policies current and serve as the first point of contact for employee queries.
- Organise team events, manage the festival and birthday calendar, and coordinate review scheduling.
Administration & Office
- Oversee day-to-day operations of the Baner office: facilities, housekeeping, IT assets, supplies, vendor coordination, and AMC renewals.
- Track statutory compliance paperwork, registrations, insurance, and license renewals; coordinate with the company's CA and external consultants.
- Process invoices, reimbursements, and petty cash; support the finance team in collections follow-ups.
- Arrange travel, accommodation, and visa documentation for team members.
Client Renewals Coordination
- Maintain a master contract tracker — every client, contract value, renewal date, and notice period — ensuring it is always current.
- Flag renewals 60–90 days ahead and collaborate with customer success and product teams to prepare account usage and outcome data for the founder’s renewal meetings.
- Push renewal documentation through to signature and track receivables.
- Raise early warning signs: clients going silent, delayed payments, or dropping usage.
External Communications
- Draft and manage correspondence under the founder’s name: client and partner follow-ups, meeting notes, action trackers, and investor update inputs.
- Manage the founder’s calendar and prepare briefing notes ahead of external meetings.
- Own shared inboxes and coordinate outbound communications with the marketing team.
- Keep decks, proposals, and templates versioned and presentation-ready.

What we are looking for
- 1+ year of experience in HR, executive assistance, business operations, client servicing, or a similar coordination role. Strong internship experience counts.
- High ownership: drives tasks to closure without reminders, maintains confidentiality, and juggles multiple unrelated threads in a day.
- Genuinely strong written English — you will draft on behalf of the founder, and the writing must land without correction.
- Graduate in any discipline; an MBA/PGDM in HR is welcome but not required.
- Comfortable with Excel/Google Sheets, PowerPoint, and business email, and quick to pick up new tools.
- Presentable and composed when interacting with senior external stakeholders — clients, investors, partners, vendors.

- Exposure to payroll, statutory compliance, or contract administration.
- Experience in a B2B SaaS, startup, or agency environment.
