Role Overview

This is a dual-function internship combining Accounts & Invoicing with Purchase & Vendor Management. The Intern Accountant will handle the complete order-to-invoice cycle, working directly with the founder. The role involves managing sales orders, generating invoices, maintaining registers, reconciling bank entries, and supporting purchase operations. It suits candidates who are organized, fast-paced, and comfortable with numbers, vendor communication, and documentation. This is a full-time on-site internship in Pimpri Chinchwad, Pune, with a commitment of 12 months.

Key Responsibilities

A. Accounts & Invoicing

• Book confirmed sales orders into the system (Biziverse ERP/CRM) on the same day of order confirmation, ensuring accurate entry of client name, product, quantity, rate, delivery date, and terms.
• Send Order Acknowledgement to the client within one working day of order booking.
• Generate Proforma Invoices for advance payment requests and share promptly with the sales executive.
• Issue Tax Invoices (GST Invoices) at the time of material dispatch with correct HSN code, GST rate, quantity, and value. No dispatch without a valid invoice.
• Prepare Monthly Stock Statement by the 3rd of each month, reflecting opening stock, receipts, dispatches, and closing balance.
• Maintain Sales Register and Purchase Register on an ongoing basis; share with the Chartered Accountant by the 5th of every month for GST filing and compliance.
• Support basic bank entry reconciliation and petty cash tracking.
• Maintain a clean digital file of all invoices, delivery challans, and financial documents for audit readiness.

B. Purchase & Vendor Management

• Raise Purchase Orders (POs) for materials/services against approved purchase requests.
• Follow up with vendors for timely delivery, quality checks, and documentation.
• Coordinate with vendors for price negotiations, payment terms, and dispute resolution.
• Maintain vendor database and ensure all purchase records are updated in the ERP.
• Support the purchase cycle from requisition to receipt, including inward inspection coordination.

This role is NOT a fit for candidates who have only done data entry without ownership of the full cycle, are looking for work-from-home or flexible hours, are not comfortable with direct client/vendor communication, or expect a large team with dedicated IT support.

B.Com / M.Com / BBA or equivalent; 1-3 years of hands-on experience in accounts/purchase (preferably engineering/manufacturing); proficiency in Excel, Word, and ERP systems; basic knowledge of GST and TDS; fluency in Marathi and Hindi; strong organizational and communication skills.
