Role Overview

As a Patient Records & Outreach Analyst, you will play a pivotal role in supporting oncologists and cancer experts in the United States. This remote position is designed for detail-oriented individuals with a background in oncology or health sciences who are committed to ensuring that critical patient information is accurately captured and shared with medical professionals in a timely manner. You will engage in various outreach activities, maintaining strong professional standards in communication and documentation.

Key Responsibilities

• Make outbound calls to healthcare facilities, clinics, and hospitals for requesting patient medical records.
• Follow up via phone, fax, and secure email to ensure the timely retrieval of records.
• Verify necessary provider and patient information before initiating record requests.
• Document call details, facility responses, and retrieval progress in the internal system.
• Promptly escalate any delays or issues to the operations lead.
• Ensure compliance with HIPAA, privacy regulations, and organizational protocols in all activities.
• Collaborate with clinical and document processing teams to rectify incomplete or missing information.
• Maintain productivity and quality targets during record retrieval processes.

Requirements

• Bachelor’s degree or diploma in Life Sciences, Nursing, Allied Health, Pharmacy, or related field.
• 1 to 2 years of experience in healthcare-related calling roles such as medical insurance follow-up, billing, patient advocacy, prior authorization, or care coordination.
• Excellent verbal communication skills with a professional phone manner.
• Strong data entry and documentation skills.
• Ability to work with sensitive patient data and maintain confidentiality.
• Availability for US night shifts (e.g., 6:00 PM – 3:00 AM IST or later).
• Problem-solving mindset with a focus on timely resolution.

Preferred

• Knowledge of medical record formats, ROI processes, and healthcare terminology.
• Familiarity with oncology terminology (chemotherapy regimens, pathology, imaging, staging).
• Experience with HIPAA-compliant workflows or medical record abstraction.
• Prior experience working with US healthcare clients.
